The central element in the Mosaic recordsCockpit is the file plan, in which all legal requirements and guidelines are mapped in defined retention periods and rules. Based on your company processes and document types, the documents and data are placed in the context of compliance record types.
In the various life cycles of documents/data (creation, processing, archiving to destruction) there are different guidelines and procedures that must be considered and are therefore defined in the file plan.

With the Mosaic recordsCockpit you ensure the following archiving requirements:
- Traceability of when what was archived with which rules
- When, who is authorized to access or delete archive information based on rights
- The legal retention period, also depending on the process status, of the information is observed
- The deletion of information is controlled under consideration of legal conditions
- Storage adjustments due to legal changes can be carried out securely

Highlights
- Modern records management tool for managing file plans
- Centralized management of retention periods, laws and guidelines in a web application
- Consolidation of business processes and data record types in a single context
A records management system can not only legally manage electronic documents, but also allows physical documents to be included in the file plan. This ensures the audit-proof storage and destruction of all documents (electronic and physical) in your company.
Integration of existing archive systems
Many companies already have archive systems in use (e.g. IBM, OpenText/Documentum, EASY, etc.). How can information (archived documents and data) from these legacy systems still be accessed and integrated into new processes? The worthwhile alternative is to integrate these systems into the new DMS/ECM system. With Mosaic eanna, various customer projects have already integrated many existing legacy archive systems into a new Mosaic eDossier DMS/ECM. This means that the documents from these historical systems remain available to users in the process context as required.
